NightwatchBooking agent Hours to seconds

A booking that landed at 3 am used to wait for the morning, and now the car is scheduled in seconds.

The ask

Transfer companies take bookings by email, voucher and platform offer, day and night. Each one was read and typed into the company's system by hand. One wrong write is a real car sent to a real airport, or a service a driver runs twice.

“It's all copy and paste, and a lot of time gets lost. The idea is not to work less. It is to use that time for other things.”
Operations, Radar Odyssey

The booking system cannot be asked what it already knows.

No way to ask

The company's booking system can be written to, but never read back: there is no way to ask whether a trip is already in it. So when a write goes quiet, the agent cannot tell if it landed. It stops and asks a person rather than risk entering the same trip twice.

It refuses half the details

The official way in leaves out the ticket, the payment, the service type and the notes. So the agent enters what it can, then finishes the booking the way a person would, through the same screen the staff use.

Every partner sends a different shape, and the shape lies.

The channels

Bookings inbox, Welcome Pickups, Transfeero, Booking.com, FareHarbor, vouchers as PDF or photo. A thread with quoted replies once summed five repeated lines to 20 vehicles where the sender had declared 8.

No guessing

Vehicle tier, passenger count, payment mode and zone are read from the words of the booking, each with the sentence it rests on, never from a keyword. A keyword rule once read a large van as a small one; the agent reads the sentence instead.

The big groups

A party of 12 is split into the right vans. Every leg keeps the partner's reference, and a return is linked to its outbound trip. A class the team keeps for itself, like an S-Class, stays out.

The resend

A partner resends a booking with one detail changed. The agent edits the service already in the system and creates no second one. A second pass checks every field seconds after each write, and the team gets one email per service.

The missing field

A voucher with no phone or no flight cannot go in. The agent asks the team, one button per answer, and enters the job once answered. A question left unanswered is never written on its own.

“Every partner sends bookings their own way, that's the problem. Now the agent is doing very well. I entered groups, and everything came out right.”

It never clocks off, and it never books the same trip twice.

Around the clock

A booking lands at 3 am and the car is scheduled before anyone wakes. What a person used to read and type, the agent decides in seconds, on each company's own rules, right through the night.

“From the day we started I said it: there has to be a system that takes these trips, with us on the other side, managing it. Whoever doesn't use AI will be left behind.”
Management, Radar Odyssey

The offer desk

At BestoursPT every platform offer is weighed against the company's own floors: a minimum price by hour of day, a price per km on long trips, notice, gaps between services and driver hours. The agent accepts on the platform, assigns driver and car, and writes the calendar and the booking system. An offer outside the rules reaches the team already analysed, with two buttons. One offer in five is decided between midnight and 8 am.

“Hire HomoDeus and that is what you get: a team made of AI, always awake, never asleep, 100% available to accept services.”
Commercial Director, BestoursPT

Three companies, one agent

BestoursPT in Lisbon has it weigh every offer against the clock. Genuine Tours in Lisbon has it enter partner bookings with no decision. Radar Odyssey in the Algarve has it read the operators' portals and enter each service. The same agent runs all three. The night its main AI provider went dark, it kept booking on the backup and missed nothing.

It plans tomorrow before anyone asks.

The drivers

At Radar Odyssey the agent reads the driver sheet and proposes tomorrow's roster: six days on and one off, eight hours of rest, no overlaps, flight times counted, as many back-to-back runs and as few outside suppliers as the day allows. On approval it assigns every driver in the booking system, and it follows any change made by hand.

The replay

Run on 79 real days and 1,886 services, deciding each one as it arrived, the roster broke no rest or day-off rule, against 294 breaks in the plan made by hand. It sent a third fewer services to outside suppliers and nearly halved the gap in hours between drivers.

The second look

One roster sent two trips to an outside supplier while a driver had a free gap that day. Operations flagged it. The trips carried more than four passengers, and that driver was in a car.

“I didn't get it at first. Perfect. This time it was a ninja. That's exactly it.”
Operations, Radar Odyssey

The evening report

Every day the agent sends the team one summary of the day, so what it took and what needs a person are read in one place.

“The daily summary was a very good idea. Keep it as a routine of the agent.”
Operations, Radar Odyssey

The month gets its hours back.

Around three hundred hours of desk work back, every month.

The hours

By our estimate a person takes three minutes to check an offer and ten to type a service. At that rate each company gets back around a hundred hours a month. At Radar Odyssey one person typed everything, 40 to 60 services a day in high season: a full working day of copying, every day.

“We do 40, 50, 60 trips a day and the workload on the two of us is already too much. Imagine 100, 120. There is no way.”
Management, Radar Odyssey

The first month

Each company starts in shadow: the agent reads every real email and writes nothing. Then a person approves each booking, then it enters complete bookings alone. At Genuine Tours that took 13 days from kickoff to the first service entered on its own, after re-reading 8,722 old emails for the hard cases.

“So many bookings come in that we ended up leaving it to the agent.”
Operations, Radar Odyssey

The controls

Driver availability, price floors, operators and rules sit in a panel behind a login. A chat takes a booking pasted in or sent as a PDF and proposes changes, and nothing is written before a click.

The watch

The agent tests itself, restarts if it stops and alerts HomoDeus on every error. Each complaint in a client's group becomes a test before the fix, and no change ships until the tests pass.

“We had some very busy days, and the agent has been running very well. Now I want to automate the Viator bookings too.”
Management, Genuine Tours
“No news, good news.”
Management, Genuine Tours

A booking that landed overnight used to wait for someone to read it. Now it is read, decided and entered as it arrives.

The night shift of reading vouchers and typing them in is over, and around three hundred hours of desk work a month went with it. The agent books the airport run the moment it arrives, on the company's own rules, and never sends two cars to the same trip.
